Facilities Assistant

We are recruiting for a Facilities Assistant to join our Site Services team acting as a point of contact for internal departments, external contractors and sites service colleagues.
This is a full-time permanent onsite role, working Monday to Friday
What will you be doing in this role?
As the Facilities Assistant you will be responsible for providing support to the Site Services Manager in delivering maintenance, cleaning, security and waste operation in a safe, effective and efficient manner.
You will act as a point of contact for our colleagues and external contractors supporting the Site Services Manager. You will deputise for the Site Services Manager in their absence, supervise our waste technicians and manage the waste operations within the environmental unit. In addition, you will support the effective delivery of all site services activities in line with legal, statutory and internal standards.
The ideal candidate:
To be successful in this role you will have proven experience of working within a site services (facilities management) environment, preferably within an production environment. You will have a sound knowledge of current environmental health and safety legislation and good IT skills. You will have a polite, courteous and professional manner able to communicate effectively face to face, over the phone and via email. A good understanding of mechanical, electrical and plumbing assets and their maintenance is vital to success in this role.

Your key day-to-day responsibilities could include…
- Support the Site services manager in delivering maintenance, cleaning and security of Tunstall buildings and grounds, deputising for them in their absence,
- Supervise waste technicians to ensure the safe, compliant and effective delivery of waste and environmental management activities across the Whitley site,
- Collaborate with the Environmental Health & Safety (EHS) manager and collect and provide information in relation to waste and recycling when requested,
- Obtain and sustain an excellent understanding of Tunstall properties, assets and maintenance schedules,
- Respond to maintenance requests in a timely manner ensuring areas are made safe and where needed escalate to the appropriate contractor for remediation,
- Carry out minor repairs within your capability and qualification and as directed by the site service manager,
- Carry out inspections and testing of key assets and infrastructure such as, generators, fire escapes and walkways,
- Act as a key point of contact for the department for colleagues and contractors ensuring lines of communication are maintained and monitored (email, phone, mail),
- Support the site services manager with and be a champion for Health, Safety and environmental aspects within the department, with a particular focus on external contractors, ensuring they provide relevant Health and Safety documentation and carry out work safely, complying with Legal, statutory and Tunstall’s internal standards at all times,
- Assist the Site Service Manager in the production, review and management of Environmental, Health and safety documentation, including Risk Assessments, Safe systems of work and operating procedures,
- Carry out general administration task within the department such as, updating records, uploading and storing service records,
- Administer the company access card system – creating new records, updating existing records, replacing cards and closing leaver records,
- Monitor and manage stock levels ensuring appropriate amounts are available to maintain services on site,
- Use the company finance system to procure goods and services.
Key skills and experience required:
- Experience working within a site services/ facilities management (FM) environment, preferably in a production environment,
- A sound knowledge and working experience of current Environmental Health and Safety (EHS) legislation,
- Good IT skills (Word, Excel, outlook),
- Good understanding and demonstratable working experience of Mechanical, Electrical and plumbing assets and their maintenance,
- Experience of supervising colleagues and contractors,
- Good standard of written and spoken communication,
- A smart and professional appearance with a polite, courteous and professional manner,
- A ‘can do’ proactive approach to work, able to work well independently and as part of a team,
- Able to lead and motivate colleagues and contractors on specific work tasks to deliver excellent standards of work,
- Excellent time management and organisational skills,
- You will have excellent problem-solving skills and be adept at anticipating and resolving issues.
Desirable skills and experience
- Health and safety qualification (IOSH Manging safely),
- Knowledge of current Waste regulations and directives,
- Forklift truck license.
