Customer Service & Invoicing Administrator

We are recruiting a Customer Service & Invoicing Administrator to join our Customer Satisfaction Centre based out of our Whitley (DN14 0HR) location. This is a site-based role.

What will you be doing in this role?
It is the Customer Service & Invoicing Administrator responsibility to liaise with a variety of customers and organisations via various communication methods. The role involves dealing with general enquiries, chasing purchase order numbers for chargeable work, arranging surveys, producing quotations, processing order acceptances and invoicing the client. All invoicing transactions should be processed in line with business needs, Service Level Agreements and agreed Finance Shared Services processes and operating procedures.

Required skills and experience
Excellent customer service skills with the ability to deal effectively and professionally with all customers
Excellent communication skills with a good level of spelling, grammar and punctuation
Excellent organisational and planning skills with a keen eye for detail
Good logical problem solving skills
Experienced and proficient in the use of Microsoft Office
Required competencies
Flexible and approachable work manner
Ability to work as part of a team or independently
A clear and friendly telephone voice
Desirable skills and experience
Previous invoicing experience
Knowledge of the IFS ERP system
Knowledge of Tunstall products and services

Your day-to-day responsibilities will include:
Deal with enquiries from a variety of sources, including Housing Associations, Councils, engineers and subcontractors
Contacting customers to obtain purchase orders numbers for work completed, contributing to an annual invoice target of £4 million
Maintaining and updating data on the inhouse ERP system
Organising site surveys for Small Works
Providing quotations to customers based on information supplied by Tunstall engineers or third-party subcontractors using a pricing matrix and agreed format
Processing quotation acceptances, ordering the necessary equipment to allow the engineer/subcontractor to complete the work on an appointment basis
Process invoices in accordance with business requirements
Validation of the work completed and charges to be applied to ensure accuracy of the information on the invoice
